To deliver quality accounting, taxation, and financial advisory services, we need to collect certain personal information from you. “Personal information” refers to any details that identify you or could reasonably identify you. This may include your full name, date of birth, contact details, residential or business address, bank and superannuation information, and taxation or financial details (past and present). You are not required to provide this information; however, without it, we may be unable to deliver our services.


How We Collect Your Information
We generally collect personal information directly from you. In some cases, and with your consent, we may obtain information from third parties. We may collect information through face-to-face meetings, phone calls, documents or forms you provide (digital or paper), emails, letters, uploads to our systems, authorised third-party services, website forms, event registrations, or social media interactions. We may also incidentally receive information, such as when your bank details appear in a transaction made to our accounts. All information collected is managed according to this Privacy Policy.


How We Use Your Information
We use your personal information for legitimate business purposes, including verifying your identity, communicating with you, providing agreed services, advising you of service updates or related offerings, providing support, and meeting legal or regulatory requirements. By engaging our firm, you consent to the collection and use of your information as described in this policy or as otherwise authorised by you. We only disclose your information to third parties when necessary to deliver our services or as required by law. Third parties may include bookkeepers, auditors, financial service providers, IT contractors, and cloud software partners such as Seamless SMSF and independent auditor Michael McHenry. We may store information on secure cloud-based systems. Records are retained for at least seven years after the completion of our services or longer if required for ongoing work or compliance purposes.


Protecting Your Information
We take the protection of your information seriously and use a combination of physical, electronic, and administrative safeguards to prevent unauthorised access, loss, or misuse. These measures include confidentiality agreements for all staff, regular privacy training, restricted office access, password-protected systems, firewalls, antivirus software, secure servers, and shredding of paper records. If you choose to communicate with us via email, please note that internet transmissions are not always secure and are at your own risk.

 

Data Breach Notification
Under the Notifiable Data Breaches (NDB) Scheme, introduced by the Privacy Amendment (Notifiable Data Breaches) Act 2017, we are required to notify affected individuals and the Office of the Australian Information Commissioner (OAIC) if a data breach is likely to result in serious harm. To comply with this, Werribee Accounting Service has appointed a Privacy Officer, developed a Data Breach Response Plan, reviewed and audited data management systems, added privacy notices to client forms, implemented “opt-out” options in marketing, trained staff, and established an ongoing compliance program.


Marketing Communications
From time to time, we may contact you with updates, industry information, or details about additional services we provide. If you do not wish to receive these communications, you can contact us on (03) 9742 6235 or unsubscribe via the link provided in our emails. We will update your preferences promptly.


Accessing or Correcting Your Information
You can request access to or correction of your personal information at any time by contacting us on (03) 9742 6235 or by emailing info@wynpower.com.au. We will respond to requests within a reasonable timeframe. In some cases, an administrative fee may apply for extensive data retrieval. Requests that are deemed unreasonable, vexatious, or frivolous may be denied.
